It's Bid Day, and the entire sorority is buzzing with anticipation! From bid day themes to decorations and everything in between, we'll cover it all so that you can ensure your sorority has the best Bid Day ever! So buckle up and let's get planning!
1. Coordinating Logistics
Coordinating logistics for your Bid Day can be a daunting task. The key to a well-run event is to involve your sisters and divide responsibilities CLEARLY.
Designate roles / have people sign up for roles by activity, time, or category, while making sure they're in charge of that specific task from preparation to finish (ie: use a sign up sheet template). For example, have someone in charge of looking into food catering options, and let the same person pick up / coordinate delivery, and food set up.
Also have a master timesheet with activities, notes and time stamps listed out. You can find a template for event planning below. Print it out for everyone so they can refer to it throughout the day. Clear division of labor helps to avoid chaos. Don't forget to designate a few people to help clean up after the event!
2. Setting Goals and Budgets
You'll need to make sure that your goal is realistic and achievable, such as increasing chapter morale or promoting sisterhood. Your sorority probably already has a budget set for Bid Day.
Your job would be to break down the budget into different categories: Merchandise, food & drinks, activities and venue. It's always helpful to see what the priority breakdown was, but don't be afraid to lean into one pillar.
For example, creating experiences on Bid Day is super important, so it might be worth using some of your budget for food & drinks for activities.
For inspiration, here are some examples of budgets for activities that can be set:
-
Photo booths or props: $50-100 (Photo booth tassles, silver / gold / black, $13)
-
Food and drinks: $10-20 pp
-
Decorations/activities: $50-100 (Sorority Babe custom Greek neon light,$120)
-
Swag / merch items: $20-40 pp (Sorority Babe custom Greek flag,$30)
-
Staffing fees: $150-400
-
Venue rental: $150-500
3. Choosing a Photogenic Theme
Brainstorm ideas with your sisterhood that fit the overall theme of Bid Day. Use decorations to help promote your sorority's mission and values. All this is social media worthy and will help your sorority to create stronger presence on campus!
Popular Bid Day themes include beach day, carnival, pajama party, candy land, cowgirl style and sea-themed events. Whatever you choose, make sure it's something that will capture the interest of new members while still aligning with your sorority's goals.
